Executive Assistant (m/f)

 

in Cracow, Poland

KEY RESPONSIBILITIES:

  • Providing comprehensive support to the Principal in day-to-day professional and organisational matters
  • Acting as a liaison between the Principal and business partners, colleagues, service providers, household staff and other relevant parties
  • Building and maintaining professional relationships with the above-mentioned individuals whilst ensuring a consistently high standard of communication
  • Managing the Principal’s calendar
  • Managing the Principal’s time and priorities
  • Coordinating meetings and business contacts
  • Independently researching and verifying information and liaising with external service providers
  • Organising business and private travel and occasionally accompanying the Principal during such trips
  • Occasionally organising and coordinating selected private and family matters on behalf of the Principal
  • Maintaining strict confidentiality and ensuring the security of information relating to the Principal’s personal and professional affairs


REQUIREMENTS:

  • Previous experience in the same or a similar role involving direct service to HNWI, UHNWI or VIP
  • University degree
  • Fluent Polish
  • Advanced English
  • Good understanding of business and financial environments
  • Strong digital skills and software proficiency
  • Ability to use AI tools intelligently and effectively in day-to-day work
  • Ability to build and maintain valuable professional relationships
  • Excellent personal organisation and time management skills
  • Self-reliance, proactivity and resourcefulness
  • Flexibility
  • High level of personal and professional standards
  • Tact, discretion and confidentiality
  • Driving licence (category B)
  • Own car


TERMS OF EMPLOYMENT:

  • Primary location: Cracow, Poland
  • Working arrangement: hybrid
  • Contract type: self-employed
  • Full-time
  • Working days: Monday-Friday
  • Working hours: 9:00 a.m.-5 p.m. (TBD)
  • Remuneration: PLN 18,000 net per month

Phone screening.

We conduct a phone interview, which usually lasts 30-45 minutes.

Job interview.

We meet in person for a recruitment interview, during which we confirm identity, verify competence and check the authenticity of the documents provided.

Selection of candidates.

We select the 2-4 best candidates.

Submission of the candidates.

We prepare a recommendation report, which we present to the client along with all other application documents.

6

Meeting with the client.

Invitation to a meeting with the client or PA.
